Assistant Property Manager

The Assistant Property Manager (APM) is responsible for providing support to the Regional Property Manager in all areas of management for the assigned property to include maintenance, tenant relations, collections, monthly reporting, property & lease documentation, annual budgeting & reconciliations, risk management, property improvements, vendor management, tenant relations and leasing. The APM must possess strong organizational skills and be able to manage aspects of multiple properties simultaneously.

RESPONSIBILITIES & DUTIES

• Assist with administering lease files & compliance with lease agreements

• Coordinate and show office suites to prospective tenants and work with leasing associates to prepare proposals and lease office space

• Participate in local commercial real estate activities or organizations to increase awareness of the property

• Maintain quality tenant relations and build positive relationships with tenants

• Inspect property

• Assist with implementation of preventative maintenance programs

• Monitor and dispatch maintenance services as necessary

• Complete Management letters, Welcome Tenant Packages, Rent Commencement Letters, etc.

• Assist with tenant move-ins and move-outs

• Maintain emergency notification lists for tenants and vendors

• Prepare/review lease abstracts for accuracy

• Maintain & verify completeness of property files

• Prepare and maintain vendor contracts & information including COI’s & W-9

• Maintain tenant insurance information, letters of credit, etc.

• Assist in the preparation of year-end CAM reconciliation invoices to ensure they are submitted for payment in a timely and accurate manner

MINIMUM REQUIREMENTS

• Minimum 2+ years’ experience in real estate and commercial property management.

• Knowledge of commercial buildings and building systems.

• Strong interpersonal, verbal, and written communication skills

• Proficiency in Microsoft Office applications and overall computer skills

• Time management skills to prioritize and meet deadlines

• You are highly organized with outstanding attention to detail

• Individual who is creative and offers new ideas

• Ability to work independently and as a member of a team

• Flexibility to work in a changing environment

• Ability to thrive in a fast-paced environment

• Real Estate Sales or Brokers License a plus
